Position Summary

Cambrian College’s Pathways, Partnerships and Professional Learning department requires a full-time Testing and Transitions Coordinator beginning March 2021.

Duties and Responsibilities

  • Administer all aspects of the Testing Centre services to Cambrian College students including postsecondary, continuing education/independent learning, Ontario Learn, trades certification program, clients from outside agencies, institutes and external agencies, and staff. 
  • Organize testing sessions and liaise with external organizations to support testing sessions; ascertain and retrieve appropriate test for a test-writer and provide test-writers with instructions for completing test. 
  • Invigilate concurrent testing activity ensuring compliance with rules and guidelines of the Test Centre; secure completed tests, and score tests as appropriate. Return completed tests and/or scores to the appropriate faculty, department, agency, institute, or employer. 
  • Coordinate scheduling of staff coverage for day, evening, and weekends.
  • Advise learners on contacts for completing PLAR and Transfer Credit applications, as well as share information regarding various pathways to and beyond Cambrian College.
  • Mentor, train, and guide part-time staff on all aspects of Test Centre services and delivery; ensure part-time staff are kept current in procedural changes.
  • Provide direction and guidance to students, faculty, and departments with respect to Test Centre service, procedures, and guidelines.
  • Maintain and review Test Centre and Transition guidelines and procedures, making appropriate recommendations to various stakeholders regarding process improvements, and updates relevant manuals and procedural documents regularly. 
  • Manage record keeping within the Test Centre, developing and maintaining documents and spreadsheets to track activity levels and various services offered; maintain and organize test protocols and invigilation parameters, complete check-in and check-out process for testing sessions, maintains security measures, and inventory control as needed.

Qualifications

Required: 

 

  • Must have a three-year postsecondary diploma or degree preferably in Business Administration, or Education. A copy of educational documents must be submitted with application *** education completed outside of Canada, applicants are required to submit a WES or ICAS with their application)
  • Two years of experience within a postsecondary or educational setting, with experience providing excellence in customer service in person and by telephone; experience dealing with difficult clients is necessary.
  • Experience developing staff schedules and operational schedules.
  • Strong records management skills along with sound organizational, time-management as well as good tact and judgement.
  • Ability to multi-task in a highly busy environment with competing deadlines with minimal supervision. 
  • Proficiency with Microsoft Office programs, including Word, PowerPoint, Excel, and Outlook.
  • Collaborative professional who promotes teamwork and works cohesively within a team-oriented environment.
